1. Introduction

Orbit Scheduling, operated by DCR LLC, an Illinois limited liability company (“we,” “our,” or “us”), operates a real-time collaborative scheduling platform (the “Service”). This Privacy Policy describes how we collect, use, disclose, and protect your personal information when you use our Service.

We are committed to protecting your privacy and handling your data with transparency. This policy applies to all users of Orbit, including schedule owners, editors, site leads, and viewers. The Service supports multiple industry verticals including healthcare, restaurant, fitness, education, and dental scheduling.

2. Information We Collect

2.1 Information You Provide Directly

  • Account Information: Email address, display name, and profile photo (if using Google OAuth or uploaded directly).
  • Staff/Provider Information: Names, roles (provider, resident, rotator, medical assistant — or vertical-equivalent labels), email addresses, and phone numbers of staff members entered into schedules.
  • Optional Personal Details: Home address (for optional, user-initiated commute estimates; when used, a home address is sent from your browser directly to OpenStreetMap to generate map coordinates, as described in Section 4), birthday (MM-DD format, for team recognition), work start date (for anniversary tracking).
  • Profile Photos: Staff profile photos uploaded to the Service (stored in Firebase Storage, max 2 MB, JPEG/PNG/WebP).
  • Schedule Data: Shift assignments, session labels, site configurations, PTO requests, swap requests, coverage preferences, scheduling constraints, block schedules, and on-call assignments.
  • Skills and Credentials: Professional skill profiles, credential records (with expiration status), peer endorsements, and training interests (“want to learn” tags).
  • Communications: Messages sent through AI chat features (HAL), team chat channels, mood check-ins, peer kudos/recognition, shift handoff notes, and team event details.
  • Feedback and Attestations: Post-session sentiment ratings, duty hour attestation data (scheduled vs. actual hours, moonlighting hours, deviation notes), and site onboarding checklist progress.
  • Bulletin Responses: Acknowledgments and quiz answers for admin-published announcements.
  • Custom Branding: Logo, colors, and header text uploaded for schedule customization.
  • Privacy Preferences: Per-field visibility toggles (hide phone, email, birthday, or address from peer views).

2.2 Information Collected Automatically

  • Authentication Metadata: Firebase UID, account creation timestamp, last sign-in timestamp.
  • Usage Data: Real-time presence (cursor position, active status during collaborative editing), last-seen timestamps per schedule week.
  • Device Tokens: Firebase Cloud Messaging (FCM) tokens for push notification delivery.
  • Error Logs: Application errors including page URL, error message, and timestamp (used for debugging).
  • IP Address: Logged for rate-limiting purposes on API endpoints.
  • Schedule Change Logs: Automatic audit trail of placement changes with before/after values, timestamp, and identity of the editor.

2.3 Information We Do NOT Collect

  • Patient health information (PHI) or clinical/medical records
  • Social Security numbers or government-issued ID numbers
  • Biometric data
  • Third-party analytics or advertising tracking data
  • Cookies for tracking or advertising purposes

2.4 Payment Information

If you subscribe to a paid plan, payment processing is handled entirely by Stripe, Inc. We do not receive or store your full credit card number, bank account details, or other sensitive payment credentials. Stripe provides us with limited information such as the last four digits of your card, card brand, and billing cycle details to display in your account. Stripe’s handling of your payment data is governed by Stripe’s Privacy Policy.

3. How We Use Your Information

We use the information we collect to:

  • Provide and operate the scheduling Service across all supported industry verticals
  • Generate AI-assisted schedules and respond to natural-language queries via HAL
  • Send schedule notifications via SMS, email, and push notifications (with your consent)
  • Provide calendar feed integrations (ICS format)
  • Calculate commute estimates and display weather forecasts for daily briefings
  • Detect and resolve scheduling conflicts, including cross-schedule and cross-department conflicts
  • Track ACGME compliance metrics for residency programs (duty hours, training exposure, continuity clinic attendance)
  • Compute schedule fairness metrics and training exposure analysis
  • Facilitate peer recognition (kudos), shift swaps, and cross-department resource loans
  • Deliver onboarding experiences (join codes, drip email sequences, site orientation checklists)
  • Maintain audit logs of schedule changes for accountability
  • Diagnose technical issues and improve Service reliability
  • Process subscription billing through Stripe
  • Enforce our Terms of Service and protect against abuse

4. Third-Party Service Providers

We share information with the following third-party providers solely to operate the Service. We do not sell your personal information to any third party.

OpenStreetMap / OSRMGeocoding, commute routingClinic address, home address (if provided)Open-source services. No accounts or tracking. The commute-estimate feature is optional and user-initiated. When a user requests a commute estimate, the user’s home address is sent from the user’s browser directly to OpenStreetMap to convert it into map coordinates; this address is not transmitted through or stored on Orbit’s servers for this purpose. Only the commute feature transmits a home address to a third party. The weather feature uses only a city-level location (the clinic or site set by an administrator) and does not use any personal address.
SentryApplication error monitoring and diagnosticsError and diagnostic data, with identifiers and content scrubbed before transmissionNo advertising or analytics tracking; used solely for reliability and debugging

4.1 Mobile Numbers and Text Messaging

If you opt in to Orbit text messages, your mobile number and your consent to receive texts are used only to deliver the messages described in our SMS program (schedule coverage requests, pickup offers, call-trade requests, reply confirmations, and one-time verification codes) and to recognize your replies. Mobile information and text messaging consent will not be shared with or sold to third parties or affiliates for marketing or promotional purposes. Text messages are transmitted through Twilio solely as our delivery provider. You may opt out at any time by replying STOP to any message or by unlinking your phone in your account settings.

5. Data Storage and Security

5.1 Encryption

  • In Transit: All data is encrypted using TLS 1.2 or higher (HTTPS only).
  • At Rest: Firebase provides AES-256 encryption for data at rest using Google-managed encryption keys.

5.2 Access Controls

  • Role-based access control (owner/editor/site lead/viewer) enforced at the database level
  • Firebase Security Rules restrict data access to authenticated, authorized users
  • Organization-level roles cascade to schedule-level permissions (higher role wins)
  • Per-field privacy controls allow staff to hide personal contact details from peers
  • API rate limiting on all Cloud Function endpoints
  • Join codes provide controlled team onboarding with optional expiration

5.3 Infrastructure

The Service is hosted on Google Cloud Platform. A HIPAA Business Associate Agreement (BAA) and Cloud Data Processing Addendum (CDPA) are in place with Google Cloud for the Service’s infrastructure. Not all Google Cloud services are BAA-covered; Orbit keeps regulated health information out of non-covered services.

6. Data Retention

  • Schedule Data: Retained as long as your account is active and the schedule exists.
  • Backups: Automatic daily backups retained (last 10 per schedule). Manual backups available for download as JSON.
  • Audit Logs: Change history and audit logs retained for a defined retention period consistent with our accountability and legal-hold needs; following a deletion request, audit-log entries are retained only in anonymized form (personally identifiable information removed) for accountability purposes.
  • Attestation Data: Duty hour attestations retained for the duration of the academic year for ACGME compliance documentation.
  • Onboarding Drip Records: Automated email delivery tracking records are auto-cleaned after 14 days.
  • DND Queue: Push notifications queued during quiet hours are auto-cleaned after 24 hours.
  • Error Logs: Application error logs retained for debugging purposes and periodically purged.
  • Deleted Data: When data deletion is requested, user data is anonymized (names replaced with “[deleted]”) or fully removed within 60 days of the request, consistent with the Cloud Service Agreement. Deletion actions are logged in anonymized form for compliance.

7. Your Rights and Choices

7.1 Data Export

You have the right to request a complete export of your personal data. Orbit provides a data export function that gathers your profile, preferences, availability, PTO records, and chat history.

7.2 Data Deletion

You have the right to request deletion of your personal data. Upon request, Orbit deletes or anonymizes it as described in 7.4 (Account Deletion). Your practice keeps its schedule history, which continues to show your name on past schedules; a practice owner can remove your roster entry. Schedule owners may also delete individual team member data. All deletions are logged with a timestamp and the identity of the requester.

7.3 Notification Preferences

  • SMS: Opt in/out at any time via account settings, or reply STOP to any text
  • Email: Unsubscribe from weekly briefings and other emails at any time via one-click unsubscribe links (CAN-SPAM compliant)
  • Push Notifications: Control via in-app notification preferences, including per-event toggles and quiet hours (Do Not Disturb)
  • Privacy Controls: Toggle visibility of phone, email, birthday, and address on a per-field basis

7.4 Account Deletion

You can delete your account yourself from Settings → Account → “Delete your account”, or by contacting support@orbitscheduling.com. If you are the only owner of a schedule, you will be asked to transfer ownership or delete that schedule first so your practice is not left without an owner. On account deletion, your sign-in record is deleted; your contact details, home address, birthday, emergency contact, accommodation and dietary notes, and your assistant conversation history are erased; and on your time-off and other requests and in change logs, your name is replaced with “[deleted]”. Your photo, any credential files attached to you, and files you sent in chat are deleted from file storage and from our nightly copy of it. Earlier backup snapshots of the affected schedules are retired at the same time. One copy cannot be edited person by person: the nightly disaster-recovery export of the whole database. Those exports are deleted after 30 days, and if we ever restore from one, logged deletions are applied again as part of the restore. Your practice retains its schedule history — the record of who was scheduled where and when — which continues to show your name on its roster and on past schedules; a practice owner can remove your roster entry. The deletion is logged with a timestamp.

8. Cookies and Tracking Technologies

Orbit does not use cookies for advertising, analytics, or cross-site tracking. The Service uses:

  • Local Storage: A single key to remember your most recent schedule for convenience.
  • Service Worker: Used solely for offline caching of application assets (Progressive Web App). No tracking or data collection.

We do not use Google Analytics, Facebook Pixel, or any third-party tracking or advertising technologies.

9. Children’s Privacy

The Service is a workforce product offered to organizations and is not intended for personal use by children. As a condition of eligibility, the Service may not be used by, and no account may be created for, any individual under the age of 18. We do not knowingly collect personal information from children under 13 (the threshold under the Children’s Online Privacy Protection Act). If we learn that we have collected information from a child under 13, we will take steps to delete that information promptly.

10. HIPAA and Healthcare Compliance

Orbit is designed as a scheduling and workforce management tool. It handles operational data (staff names, shift assignments, contact information, credentials, training metrics) rather than clinical or patient health information.

A HIPAA Business Associate Agreement is in place with Google Cloud for our infrastructure. Orbit processes only operational workforce-scheduling data and does not handle Protected Health Information by design, and is therefore not a HIPAA business associate. If your organization requires Orbit to function as a Business Associate under HIPAA, please contact us to discuss whether a separate Business Associate Agreement is appropriate.

11. International Users

The Service is hosted in the United States. If you access the Service from outside the United States, you consent to the transfer of your information to the United States. We comply with applicable data protection requirements, including the EU GDPR for users in the European Economic Area. The Google Cloud Data Processing Addendum (CDPA) with Standard Contractual Clauses has been accepted for cross-border data transfers.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website and updating the “Effective Date.” Your continued use of the Service after changes are posted constitutes acceptance of the revised policy.
